How to turn receipt emails into structured expense records
Receipt emails can become easier to organize when merchant, date, amount and reference information are captured consistently. This tool prepares those fields for review without deciding their accounting treatment.
Start with the right material.
- What you provide
- an opened receipt email with readable text.
- The intended result
- Export merchant, date, amount, currency and order identifier.
How the workflow works.
Identify the transaction details in the selected message and preserve the stated currency. Keep the merchant's receipt reference distinct from an email message identifier or an unrelated order number.
What to check in the result.
Compare totals and dates with the receipt, then check whether the record is already present in your expense system. An extracted receipt does not establish reimbursement eligibility or tax deductibility.
Import the CSV with a consistent delimiter and inspect text identifiers, dates and amounts before using spreadsheet totals. Keep the original file available while checking any automatic type conversion.
Learn from the worked example.
The downloadable CSV example uses these columns: Merchant, Receipt date, Amount, Currency, Order ID. Compare a complete record with the source before sorting, combining or importing your own output.
The supplied example is illustrative. It is not a recorded run on your data.
