How to write a follow-up email that advances the conversation
A follow-up works best when it reconnects the recipient with an unresolved question or agreed next step. This tool helps prepare a relevant reminder using the actual history of the exchange.
Start with the right material.
- What you provide
- an expanded unanswered thread plus desired next step.
- The intended result
- Save a concise follow-up referencing the actual request and no invented promises.
How the workflow works.
State what was last discussed, what response is needed and whether there is a real deadline. Keep the message short enough that the recipient can understand the request without rereading the entire thread.
What to check in the result.
Check that the recipient has not already replied or completed the action. Avoid adding invented urgency, unsupported consequences or repeated reminders that conflict with their communication preferences.
Read the text as an editable result and check it against the source. Keep important references, names and conditions intact when you copy it into another document or message.
Learn from the worked example.
Use the downloadable example to understand the shape of the result. Compare it with the source example, then apply the same factual checks to the material you provide for your own task.
The supplied example is illustrative. It is not a recorded run on your data.
