How to summarize customer complaints into actionable issues
A complaint summary helps a team understand what went wrong from the customer's perspective. The useful result distinguishes the reported incident, its impact and the resolution being requested.
Start with the right material.
- What you provide
- selected complaint messages.
- The intended result
- Separate recurring problems, stated impact and evidence with no invented root causes.
How the workflow works.
Group the supplied complaints by the actual issue and retain concrete examples. Separate repeated descriptions of one incident from independent incidents when the source provides enough information.
What to check in the result.
Check that the summary preserves important exceptions and unresolved facts. Similar symptoms can have different causes, so leave causal explanations open until supporting evidence is available.
Preview the Markdown to check headings, lists and links as well as the words. Keep source references with the document so a reviewer can trace important statements back to the material you supplied.
Learn from the worked example.
The downloadable Markdown example shows one possible organization of the result. Read it alongside the source example and notice which statements are recorded facts, proposed wording or questions still needing an answer.
The supplied example is illustrative. It is not a recorded run on your data.
